This page informs you of our policies regarding the collection, use and disclosure of Personal Information that we receive from the users on our sites.

Proud Gaymers (“us”, “we”, or “our”) operate the proudgaymers.com main (root) domains as well as all of its subdomains (e.g. https://forum.proudgaymers.com) and are all bound by this privacy statement (the “Sites, our websites”).

SECTION 1 – HOW DO WE GET YOUR INFORMATION?

While using our sites, we may ask you to provide us with certain personal identifiable information that can be used to contact or identify you. We may also ask general information that if put together can become personal identifiable information.

All of the information you or your legal guardian either submit to our site or given to us by other means can be collected, stored and used. This can be but is not limited to when you view our site, register on our sites, make an order, return an item, communicate with us, email us, call us, chat with us, open a support ticket or when you submit/edit posts, comments, feedback, rate reviews or do some search on our sites, participate in questionnaires, surveys, contests, polls, or when you submit to us forms or when you modify your account information. The information we gather also depends on the information you have submitted to us.

This information can be, but is not limited to, general information and/or personally identifiable information such as Your full name, username, email address, address, shipping address, telephone/cell phone number, The names, address and telephone number of the people to whom you purchased items for and have asked us to ship to them, your time zone, location, geolocation, preferred language, password (hashed) and IP address. You may also submit and or share but is not limited to your location, website, interests, occupation, photos, video, images or other media files, as well as your social media profile page web address: Facebook, Twitter, Skype, YouTube, Google+and etcetera on our sites. All of which could have personally identifiable information that could be seen by anyone viewing our sites.

All submitted content, such as but is not limited to posts, comments, feedbacks, rated reviews, questionnaires, surveys, contests, polls posted on our sites could be publicly available for all to see and read. The information you submit in those posts, comments, feedback, rated reviews… might contain personal identifiable information depending on what you write and submit. Those fields of text can be seen by anyone viewing our sites. We recommend you do not write personal identifiable information in those posts, comments, feedbacks, rated reviews textbox. Do not add information in those text boxes that you don’t want others to see or read.

When you browse our store or websites, we also automatically receive your computer’s internet protocol (IP) address and geolocation.

Required information that we need when you register on our sites:

Required information that we need when you log in to our hosted games:

When registering on our game servers we gather required information which depends on which of  game you register on.

Note: There is information that will be displayed for games like for scoreboards, billboards, player clan lists etc. For these, there are no opt-out options.

Furthermore, within your account, you have the option to opt-in or opt-out of automatically generated emails from the web software that we use.

For users that register on our websites (if any), we also store the personal information users provide in their user profile.

Additional ways we can get your information:

We may get third-party information about you and/or general information from third-party services that we use or from other sources. This can be but is not limited to, information from mail provider (mail office data), FedEx, UPS (our carriers) for updated delivery information. We may also contact third parties for updating our records.

The online shop if applicable also stores data of, but is not limited to, the items you have viewed, added to your wish list, added to your basket/cart and items you have purchased. (this information may be used to customize your browsing experience on our sites.)

Third-party payment gateways can also send us some personal identifiable information and/or payment confirmation.

We may also need to gather more personal information during support. The information gathered during support can be, but is not limited to, your full name, address, phone number, email address, payment gateway used, payment confirmation number and/or any other personal information you share with us during support.

In an attempt to prevent fraud, we can gather (We reserve the right to gather) information to identify your device such as but not limited to MAC address. We may also exchange information with third parties for fraud prevention.

We may collect additional information such as diagnostics data to help with compatibility for all devices and to improve our websites or other applications.

Third-party companies can provide us with information like browsing habits to improve your experience with us such as personalized advertising.

Server log data:

Like many site operators, we collect information that your browser sends whenever you visit our sites (“Log Data”); this is logs from the webserver we use.

This Log Data may include information such as but not limited to your computer’s Internet Protocol (“IP”) address, browser type, browser version, the pages of our Site that you visit, the time and date of your visit, the time spent on those pages, geolocation, and other information and statistics.

For our game servers most will log chat conversations, IP address of the player, player username and players steam ID, etc.

Analytics data:

In addition to Server Log Data, we may use analytics tools and/or third-party services such as but not limited to Google Analytics, Matomo (Piwik) that may collects and/or monitors and/or analyzes the data that was gathered during your browsing on our sites using methods like the JavaScript tracking code, cookies, Image Tracking, mobile SDKs and Measurement Protocol.

The information gathered may include, but is not limited to, the Internet protocol (IP) address, your devices used when connecting to our servers (when viewing our websites), browser setting, browser type, browser version, browser plug-in types and versions, the pages of our sites that you visited, your time zone, geolocation, the time and date of your visit, the time spent on our webpages you have visited, the search history done on our site, purchase history, products you viewed, products you searched for on our sites, etc.

We may also collect information about session information, upload/download, errors page, page response times, interaction information, (such as scrolling, clicks, and mouse-overs)
exit points and methods used to browse away from the page or away from our sites and other statistics.

Google Analytics:

We have turned on some advanced Google analytics options and tracking such as but not limited to Advertising Reporting Features, Remarketing, E-commerce, Enhanced E-commerce Reporting, Demographics and Interest, By doing so we and Google may gather additional data.

Some of those options provide us with analytics data from users that are logged on Google. Google’s signed-in users that have chosen to enable Google’s privacy option have agreed to associate their web and app browsing history with their Google account in accordance with Google’s privacy policy.

This means we allow Google Inc and Google Analytics to gather data about our website’s traffic via Google advertising cookies and identifiers, in addition to data collected through standard Google Analytics implementation.

Matomo (Piwik) Analytics:

We have turned on some advanced Matomo analytics options and tracking such as
Tracking Internal Site Search, Image Tracking.

We also track visitors across all of our subdomains users will be counted as a unique visitor.

We also track cross-domain linking. Meaning it lets us track our users across all of our websites domains.

We may also use Facebook and Twitter advertising analytics that provide us with detailed statistics on the performance of our advertising campaigns on their networks/sites. It also helps us make decisions on advertising decisions.

We use third parties services such as Google Webmaster, Bing Webmaster…

They provide us with tools so we can put our sites on theirs and/or their third-party search engines. They also provide us with search engines analytics data.
The third-party search engines tracking is done by them to whom the search networks belong to or by third-party companies that were allowed to gather data for them. They provide us with the analytics data gathered that relates to our websites and ranking on their search engines networks or their third-party search engines networks and provides us with analytics reports.

The Google Webmaster data may be shared with our Google Analytics account and the Bing Webmaster data may be shared with our Bing ads insights account to get better analytics reports.

We use analytics data to:

  • Better understand our customers and our website’s users.
  • Better understand the way you interact with our site.
  • Better understand the behaviour of our clients. when they’re browsing on our sites.
  • Better understand the products and/or service our clients are interested in.
  • Better understand which advertising is more efficient.
  • Better understand which websites we should advertise more on.
  • Better understand how to get new clients.
  • Better understand where we should create new content on our site.
  • Target potential clients.
  • Maximize sales by learning what we should change on our websites.
  • Prioritize new content where our users spend the most time on our sites.
  • Work with advertising companies and/or third parties companies in the goal of providing advertising and targeted advertising to internet users that can also be based on their preference, activities and/or interests.

This data is also used to helps us in our general business decision. We also use this data when working with other third-party advertising companies such as companies that offer services for advertising (Also known as “targeted advertising”, “behavioural advertising” or “remarketing”) such as with Google’s Adword, Facebook ads, Twitter ads. We may also use your personal data for the purpose of technical administration of the websites, customer administration, product surveys, only to the extent necessary in each specific case.

If we need additional information:

We might need the information on file for other purposes if so we will need your consent before we proceed.

Spam and monitoring:

All visitors (Users that are not logged in or not registered on our sites.), Registered members on our sites which submits data such as but not limited to posts, comments may be halted from being immediately be posted on our sites. The submitted data might be sent to a moderation queue for manual verification and/or automatic verification with the use of third-party services. This is done to help block spam, bots and to verify if the submitted information complies with our set of rules and guidelines.

Note: The automatic verification services are not foolproof and sometimes dose errors.

Who on our team has access to the information :

Members of our team have access to the information you provide us. For example, both Administrators and Shop Managers can access:

Order information like what was purchased, when it was purchased and where it should be sent, and Customer information like your name, email address, and billing and shipping information.
Our team members have access to this information to help fulfill orders, process refunds and support you.

Forum Administrators, Moderator, has access to the information you provide us in the forum such as but not limited to profile information, private messages, and additional information such as IP address, time records, etc.

Administrators and moderators also have access to the privet section if any in your profile.

Users and guests can see your public profile.

Retaining personal information and general information:

We will take steps to retain personal information for as long as necessary to fulfill the purposes for which it was collected and as permitted or required by law. For example, we will store order information for years for tax and accounting purposes. This includes your name, email address and billing and shipping addresses. For some other information, we are not legally required to continue to keep it.

If you leave a comment, the comment and its metadata are retained indefinitely. This is in part so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

All users can see, edit, or delete (may need to ask an administrator) their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information. Some information may need to be kept for legal requirements or as seen fit by the administrators.

SECTION 3 – EMAILS, EMAIL MARKETING, MAILING LISTS, NEWSLETTERS

Mailing List, Newsletters:

When you subscribe to our Newsletters on our sites you give us consent to store, share and use your email information in the purpose of emailing you marketing emails which can contain, but is not limited to, information of commercial promotional in nature concerning our promotions, Items, sales, company news, rebates, new services, events and/or other updates.

You also give us consent to us to send you our newsletters emails when you purchase or lease items, services, products, live species from our store or if we have a contract with you.

By giving us consent for receiving newsletters emails, we will add your email address and the date of when you have subscribed to our newsletter will be added and shared with the third-party company that provides us with newsletter services eg: SendinBlue Email (SendinBlue SAS), SparkPost (Message Systems, Inc), MailChimp (The Rocket Science Group, LLC.). So that we may send newsletters to the email address you have provided to us. We may also add your email address and date of when you have subscribed to our newsletter to our own newsletters software that we may be using.

We will also keep a copy of your email address and the date of when you have subscribed to our newsletter on record and if needed on paper of as long as we need and can be used for legal purposes if needed.

Unsubscribe (opt-out) of future newsletters / Marketing Email:

To stop receiving marketing emails from us you can click on the unsubscribe link in the marketing email you have received from us.

If this does not work or if you would like us to manually remove you from the marketing email list you may contact our support and ask us to remove your email address from our marketing email list. You will need to give us your full email address receiving these emails for us to remove it from our marketing list.

We may use third-party advertising companies like Google AdWords, Bing Ads. They provide us with ways for us to do advertising and remarketing.

It lets us show our advertising ads across other third-party sites. These third-party advertising companies will show our ads on other third-party websites.

The third-party advertising companies that we use may also let other third-party advertising vendors show our ads on other websites when you are browsing websites that are not affiliated with us.

This service uses tracking cookies to enable our targeting advertisement on other third-party websites and also enable other websites to advertise on our own.

Since we use targeted advertising you might start seeing our ads on other websites after you have browsed our sites in the past. This can also happen when you are still on our site but are browsing other sites at the same time.

We also use Facebook and Twitter advertising to put our ads on their social network and by doing so you might see our ads on their websites.

How do you get my consent?

Google Analytics shared information:

We may also share with Google the analytics data (data collected using methods such as the JavaScript tracking code, mobile SDKs, and the Measurement Protocol) which we and they have collected, processed, and stored using Google Analytics about our sites and users. They can use this data as stated in their Google Privacy Policy.

Some Google analytics data can be shared with our other Google accounts, products, and services that we use (such as AdWords, for example). This makes our Google Analytics account a central place to analyze all of our data.

Since we use the third-party Google Analytics services from Google Inc., Google reserves the right under certain circumstances as noted in their privacy policy to access our Google Analytics account and data that is stored on their systems. Game shared information:

We may also share with games service providers the analytics data (data collected such as IP, timed logged in, time played etc.) which they can use this data as stated in their Privacy Policy.

SECTION 7 – PAYMENT:

We have the security of your payment in mind. This is why we use external payment gateways like Paypal and Stripe. You are redirected to their secured and encrypted website to enter your payment information. They are responsible for the security of the transaction and the financial information.

When processing payments, some of your data will be passed to third-party payment gateways such as PayPal or Stripe. The data shared includes information required to process or support the payment, such as the purchase total and billing information.

If you choose a third-party payment gateway to complete your purchase by credit card, then they store your credit card data. We do not store your credit card number nor do we see or keep the security number of your card.

We keep the transaction confirmation number and copies of the transactions that the payment gateway sends to us.

Gift cards and redeem codes:

When using gift cards or redeem codes, we track the date and number of times the code has been used.

SECTION 8 – THIRD-PARTY SERVICES:

In general, the third-party providers used by us will only collect, use and disclose your information to the extent necessary to allow them to perform the services they provide to us.

However, certain third-party service providers, such as:

  1. Payment gateways and other payment transaction processors have their own privacy policies with respect to the information that we and the user are required to provide to them for your purchase-related transactions.
  2. Other third-party service providers that we use may have their own privacy policies with respect to the information we and the user are required to provide to them to use/receive their services.

The IaaS provider claims that they don’t have any access to the software that we have installed or data uploaded on their infrastructure; this is in place to ensure the utmost security of their client’s data.

The servers (Os) Operating Systems and tools that we use are kept up to date for better security. We also use other security software and third-party services for added security.

However, even with the security that is in place, complete confidentiality and security are not guaranteed. Browsing on the internet is subject to potential spoofing, interception, loss or alteration.
